
In December Central Essex Community Services, the provider arm of NHS Mid Essex, invited Kairos Systems to demonstrate its web based mobile working audit solution to its Managing Director, John Niland and other senior managers.
Kairos Systems were able to demonstrate the effectiveness of its mobile working solution that incorporates data capture, data storage and reporting using templates designed for Infection Control. The demonstration of its dashboard based real time reporting tool impressed the management team and as a consequence John requested Kairos to work with his Governance team to generate a business case.
Over the following weeks working closely with Annie Pearson, Head of Governance and Organisational Development and members of her team, data was collected about the top ten audits. These covered typical Infection Control, Record Keeping and Essence of Care audits all of which were manually compiled. Time estimates for data collection, data entry and reporting provided the base information for the business case. Utilising the typical process productivity improvements achieved when using AM2, in the private sector, over the past 5 years an outline business case was produced.
As a consequence CECS funded Kairos to run a pilot using Essence of Care as the base audit requirement. This covered 5 business units under 5 heads of service and up to 40 services.
The Pilot covered the creation of a bespoke electronic template to the CECS design covering all the information facets required in Essence of Care. Training sessions were set which covered instruction on the use of a mobile PDA device, how to use the software, completing the EOC template and uploading the completed data.
These sessions lasted 90 minutes and training manuals were provided. Typical comments were

Since then audits have been carried out and uploaded to the database using hard connectivity and Wi Fi. The Kairos help desk has been used to iron out some minor issues and as a hand holding activity. Feedback has been excellent with comments like…..

Using the audit data reports were generated and shown in real time. Using the dashboard the data was ‘sliced and diced’ in different ways to show information by auditor, service area, audit category etc. Annie Pearson, Head of Governance & Organizational Development said

On the basis of the above results and inputs CECS have now asked Kairos to move the next level which is to use AM2 for Infection Control Audits which will mean the creation of many electronic templates and training further personnel to provide complete coverage of a wide and diverse range of services.
